2. What personal data do we process?

We process personal data because you use our services and/or because you provide this information to us yourself. Below is an overview of the personal data we may process, depending on the service you use:

  • Contact details: First and last name, company name, address details, phone number, email address.
  • Financial data: Bank account number (IBAN), invoice details.
  • Technical data (website visit): IP address, data about your activities on our website, internet browser and device type, location data (if permission is granted).
  • Account data (if applicable): Username, password (encrypted), profile information.
  • Other personal data: Any other data you actively provide, for example, in correspondence, by phone, or by creating a profile.

3. For what purpose and on what basis do we process personal data?

Formula Plus processes your personal data for the following purposes:

4. How long do we retain personal data?

Formula Plus does not retain your personal data for longer than is strictly necessary to achieve the purposes for which your data is collected. We apply the following retention periods:

  • Customer data: We retain your data as long as you are a customer. After the termination of the customer relationship, we retain data that falls under the statutory (tax) retention obligation for 7 years.
  • Contact form/email: Data submitted via a contact form or email is retained for as long as necessary to fully answer and handle your request.
  • Newsletter subscriptions: Your email address is retained as long as you are subscribed to the newsletter. Upon unsubscribing, you are immediately removed.

5. Sharing personal data with third parties

Formula Plus does not sell your data to third parties and will only share it if this is necessary for the execution of our agreement with you or to comply with a legal obligation. We enter into a data processing agreement (DPA) with companies that process your data on our behalf to ensure the same level of security and confidentiality of your data.

Potential parties with whom we may share data include:

  • Hosting provider
  • Online accounting software
  • Payment providers (e.g., Mollie, Stripe)
  • Email marketing software (e.g., Mailchimp)

You can send a request for access, correction, deletion, data transfer, withdrawal of your consent, or objection to the processing of your personal data to the email address mentioned in section 1. To ensure that the request for access has been made by you, we may ask you to send a copy of your ID with the request. In this copy, please black out your passport photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number, and Citizen Service Number (BSN) to protect your privacy. We will respond to your request as quickly as possible, but within four weeks.

8. How we secure personal data

Formula Plus takes the protection of your data seriously and takes appropriate technical and organizational measures to prevent misuse, loss, unauthorized access, unwanted disclosure, and unauthorized modification. For example, we use a secure SSL connection and a strict access policy. If you have the impression that your data is not properly secured or there are indications of misuse, please contact us via our contact email address.

9. Right to lodge a complaint

You have the right to lodge a complaint with the national supervisory authority, the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). This can be done via the website of the Dutch Data Protection Authority.

We reserve the right to make changes to this statement. It is recommended to consult this privacy statement regularly so that you are aware of these changes.
